Job Description

The Accounts Payable Specialist will manage the full-cycle AP process, maintain vendor relationships, and support month-end close activities. This role is ideal for someone who thrives in a fast-paced environment and has experience working within logistics, transportation, or distribution industries.


Key Responsibilities

  • Process high-volume invoices accurately and in a timely manner.
  • Review purchase orders, freight bills, and vendor statements for accuracy and proper approvals.
  • Reconcile discrepancies related to billing, rates, freight charges, and payment terms.
  • Prepare weekly payment runs (ACH, checks, wires).
  • Maintain vendor files, W-9s, and ensure accurate 1099 reporting.
  • Assist with month-end close, including accruals and AP aging analysis.
  • Collaborate with operations, dispatch, and procurement teams to resolve invoice or payment issues.
  • Monitor and respond to vendor inquiries with professionalism and urgency.
  • Support internal audits and process improvement initiatives.

Qualifications

Required

  • 3-6 years of accounts payable experience; logistics, supply chain, transportation, or warehousing industry experience strongly preferred.
  • Strong understanding of AP processes, bookkeeping basics, and general accounting principles.
  • Experience with ERP or accounting systems (SAP, NetSuite, Microsoft Dynamics, or similar).
  • Intermediate Excel skills (sorting, filtering, VLOOKUP a plus).
  • High degree of accuracy, attention to detail, and organizational skills.
  • Strong communication skills and ability to work cross-functionally.

Preferred

  • Associate or Bachelor's degree in Accounting, Finance, or Business.
  • Experience processing high-volume freight invoices.
  • Knowledge of freight billing, accessorial charges, and carrier invoicing.
